Refund & Cancellation Policy

Last updated: 24 October 2025

1. Project deposits

A deposit may be required to reserve production time and begin work. Once the deposit invoice is paid, that time is blocked for you and early project work (research, strategic preparation, onboarding) begins.

Because that time is actively allocated to you and cannot be resold to someone else last-minute, deposits are non-refundable.

2. Milestone billing

We work in milestones (for example Strategy, Design, Development, Handover). Each milestone has clearly defined deliverables. When those deliverables for the milestone are presented to you, the corresponding invoice becomes due according to the payment terms on the invoice.

Completed and delivered milestones are non-refundable, because they represent custom consulting, creative, or technical work that has already been performed specifically for you and cannot be “returned.”

3. Changes / pauses

If you need to pause the project mid-way, we’ll park remaining milestones and work with you on a new timeline. Pausing does not create a refund for milestones that were already delivered.

If the scope needs to change (for example: you add new pages, or you change the offer), we’ll estimate and agree on the change in writing before extra work starts. Scope changes may affect pricing.

4. Cancellation by the client

You can cancel future work at any time with written notice. You will only be invoiced for:

Unstarted milestones will not be invoiced.

5. Cancellation by webseed OÜ

We may end the engagement if: there is consistent non-response / non-approval that makes delivery impossible, or if we are asked to do something illegal / unethical / in breach of platform policies / high risk for reputation or compliance.

If we end the project for reasons unrelated to your conduct, we will deliver all work completed up to that point. You will only be billed for work actually performed.

6. How to get help

If you believe there’s a billing error or dispute, email us at hello@webseed.me within 14 days of the invoice date. We will review the situation with you. Our goal is to keep the relationship fair and transparent.

7. Card payments

From time to time we may accept card or wallet payments (Apple Pay / Google Pay / debit / credit) via Wise. These payments are processed by Wise and/or its acquiring partners. Chargebacks, disputes, and fraud investigations may be handled according to Wise’s terms and card-scheme rules.

Where card payment is used for a milestone that has already been delivered, we may contest chargebacks with proof of delivery, communication, scope agreement, and sign-off.
